As a project manager, it’s very common to share a project plan with team members or stakeholders. There are various methods depending on the specifics of your goals. Let’s go through them.
- Sync your project plan with a SharePoint list. This is a great way to upload a plan and share it. Here are more details: https://support.office.com/en-us/article/sync-with-a-sharepoint-tasks-list-fb956d2c-723d-4d5a-b7e5-710ef82aa27a
- Export your plan to Excel. If your users need to see and analyze project data, this is the right option. There are very granular ways to control exactly what is exported, and you can save your “map” so that you can repeat the export as the plan changes. - Save as pdf, export to pdf or print to pdf. This is done through the File menu in Project. Choose Save as, Export or Print. If you use the Print option, check out the formatting options in Page Setup.
- Save to gif. This is great if you want to embed a picture of the plan or just the Gantt chart in another document like a PowerPoint presentation. Look for the Copy Picture command in the Task ribbon entry in the Clipboard group
- The best option for sharing plans, which gives you all of the advantages of each of the above methods plus many more capabilities, is to publish your plan to Project Online
